Signing in to CareOrbit Sales

Everything you need for your first sign-in, two-factor authentication on iPhone and Android, and what to do if you forget your password or lose your phone.

1. Accept your invitation

  1. Look for an email from CareOrbit Sales with the subject “You have been invited to CareOrbit Sales”. Check your junk folder if it isn't there.
  2. Click Accept the invitation and choose your password within 60 minutes. After that the link stops working; ask your manager to send the invitation again.
  3. Choose a password with at least 12 characters, including an uppercase letter, a lowercase letter and a number. Use one you don't use anywhere else.
  4. If your role needs two-factor authentication, you set it up next (below). Then CareOrbit Sales opens.

The link only ever opens sales.careorbit.com. If an email sends you anywhere else, don't use it.

2. Two-factor authentication

Two-factor authentication adds a 6-digit code from an app on your phone each time you sign in. It is required for Admins and Super Admins and optional for everyone else (turn it on from My profile).

You need one of these apps — all free:

  • Google Authenticator or Microsoft Authenticator (iPhone and Android)
  • Apple Passwords (built into iPhone)
  • A password manager with codes, such as 1Password
  1. Name the authenticator after where the codes will live, for example iPhone – Google Authenticator. You'll see this name when you sign in.
  2. Scan the QR code (see the iPhone section if you use an iPhone).
  3. Check the new entry CareOrbit Sales is in your app, then type the 6-digit code it shows.
  4. Add a backup right away: a second device, or a password manager. Without a backup, losing your phone locks you out until a Super Admin resets it.

3. iPhone: Google Authenticator or Apple Passwords?

Both work. The difference is where the code ends up, and that depends on how you scan.

Google Authenticator

  1. Open Google Authenticator first.
  2. Tap + → Scan a QR code.
  3. Point the phone at the QR code on your computer.
  4. The code appears in Google Authenticator as CareOrbit Sales.

Apple Passwords

  1. Open the iPhone Camera and point it at the QR code.
  2. Tap the yellow link, then Set up verification code / Add code in Passwords.
  3. Later, find the code in the Passwords app → Codes (older iPhones: Settings → Passwords, search “careorbit”).

Common mix-up: if you scan with the Camera, the code goes to Apple Passwords, not to Google Authenticator. If you can't find your CareOrbit Sales code in Google Authenticator, look in the Passwords app under Codes.

Setting up on the same iPhone you're reading on? You can't scan your own screen. Copy the key shown under the QR code, then in Google Authenticator tap + → Enter a setup key, paste it and choose Time based.

4. Signing in with more than one authenticator

If you have a backup, the code screen asks which authenticator you are using and pre-selects the one you used last. Pick the one you're reading the code from — a code from your iPad won't match “iPhone – Google Authenticator”. You can rename authenticators on My profile.

5. Staying signed in

With Keep me signed in on this device, you stay signed in for up to 7 days, and you're signed out after 24 hours without activity. Uncheck it on a shared or public computer.

6. Forgot your password

  1. On the sign-in page, click Forgot your password? and enter your work email.
  2. Open the email “Reset your CareOrbit Sales password” and click the link within 60 minutes.
  3. If you use two-factor authentication, enter a code from your authenticator (choose the right one).
  4. Choose a new password. You're signed out on your other devices.

7. Lost your phone or authenticator

  • Have a backup? Sign in with it and choose it on the code screen. Then remove the lost one on My profile and add a new one.
  • No backup? Contact a Super Admin. They will confirm who you are on a video call or in person — never by email alone — and reset your two-factor authentication. You then set it up again at your next sign-in.

Nobody from CareOrbit will ever ask for your password or a 6-digit code. Don't share them, even with your manager.
